"It has Notion UI with Google Drive flexibility, and it's visual at the same time. Playbook has completely changed our operations. Clients really like it, and we love it."

The Challenge: endless back-and-forth, no real home for approvals
Pophaus is a Toronto-based creative agency that runs always-on socials for a roster of CPG brands across food, beverage, and wellness, including ARMRA, Bloom and Superjelly. They take over a brand's Instagram and TikTok end-to-end: from photography production and paid boosting to creator content and community management.
That work generates a mountain of visual assets. Every shoot, reel, and carousel runs through rounds of internal review and then client revisions. Before Playbook, that process had no real home: the team ran everything through Notion, including dumping assets straight into docs, with no proper way to organize visual content or manage sign-off.
What they tried before Playbook
In their search, the team looked at Frame.io and Air on top of their existing system in Notion.
- Frame.io handled video review, but didn't have the full mix of video and static approvals Pophaus needed in one place.
- Notion was their existing setup and was great for project management and written concepts, but was never built to organize and visually approve creative at their volume.
- Air was an untested platform with an unreasonable price tag. As Jay described, "the pricing wasn't making sense for us, for something we hadn't even tested to see if it would work out."
The Solution: a customized client delivery flow on Playbook
What's so incredible about Pophaus' story is that they set up their entire Playbook workflow on their own. No onboarding calls, no hand-holding, just an interface that explained itself.
"We figured it all out by ourselves. The easiest thing about Playbook is the interface. As soon as I got on, it was so easy to set up folders, organize content, group content."

Pophaus gives every client its own space, keeps active and inactive boards in the sidebar, and organizes each shoot and campaign into clean folders. Sharing a full folder or a single standalone asset takes a single click. Some of Paranjay's favorite features include:
- Timestamp commenting lets clients leave notes on any second of a video, so revision rounds stay specific instead of vague.
- Side-by-side compare view shows edited versions against the original, so clients can see exactly what changed.
- Selective guest access and permissions — Allows his team to keep internal work and unapproved revisions hidden while still sharing the right content with clients at the right stage.
Pop House even wires Playbook into their Notion content calendar, giving each concept its own unique share link.
The Impact: a platform that scales with you
"Playbook is really deeply embedded in our processes now. Each project has its own unique Playbook link, and that's exactly how we share it with clients."
Pophaus started on Playbook’s Free plan and grew into Business as their agency scaled. From organizing dozens of clients to supporting both internal review and client delivery, Playbook became the system behind their entire content operation. For a fast-moving agency, that flexibility means less manual coordination, smoother delivery, and hundreds of hours saved over the course of a year.
"It's been working flawlessly for us. I can't pin a single thing. Everything's covered from our end, we don't find anything. It's pretty exciting."
"You guys have done a crazy good job. It comes down to the product, you really know your user."
